Still sharing your Google login? Don’t.

There’s a better, safer way to give your team or your marketing agency access to your Google Business Profile.

You can let them respond to reviews, update hours, post updates… without handing over full control.

It takes less than five minutes. And you can remove access anytime.

Let’s walk through it.

First, What Is Google Business Profile (GBP)?

Google Business Profile is your business’s official listing on Google Maps and local search.

It’s what shows up when someone nearby searches “HVAC near me” or “roof repair [your city].”

Having it fully set up and regularly updated can mean the difference between getting the call or getting skipped.

When you add users to your GBP, they can:

  • Respond to customer reviews
  • Update hours (like for holidays or emergencies)
  • Post updates, photos, and offers
  • Help keep your business info accurate and up-to-date

All without needing your Google password.

Access Levels Explained

Before you add someone to your Google Business Profile, it’s good to know what kind of access you’re giving.

Here’s a quick breakdown:

🔐 Primary Owner

  • The person who created the profile
  • Can’t be removed by anyone else
  • Has full control—can add/remove users, update info, delete the listing

Use this role carefully. It’s tied to ownership of the business profile.

👑 Owner

  • Has nearly the same powers as the Primary Owner
  • Can add/remove other users
  • Can update all business info and settings

Great for co-owners or trusted admins.

🛠️ Manager

  • Can update info, respond to reviews, and post updates
  • Can’t add or remove users
  • Can’t delete the profile or manage access

Best for team members or marketing partners who just need day-to-day access.

Tip: If you’re adding a marketer or staff member, Manager is usually the safest bet. You can always upgrade them later if needed.

Best Practices for Adding Users

Before you hand out access, keep these tips in mind:

  • Only give Owner access to people you fully trust.
Owners can manage other users and make major changes, so limit this to business partners or leadership.
  • Use company email addresses.
Avoid personal Gmail accounts when possible. It’s easier to manage access if someone leaves the company.
  • Remove access the moment someone leaves.
Don’t wait. Go in and remove old employees or contractors right away to keep things secure.

A little caution now saves a lot of headache later.

Troubleshooting Common Issues

Running into problems? Here are quick fixes for the most common ones:

  • Didn’t get the invite?
Check your spam or junk folder.
Still nothing? Make sure the email address was typed correctly.
  • Can’t find “People and Access”?
You might not be the Primary Owner or an Owner.
Only those roles can add or manage users—ask whoever set up the profile to give you access.

If you’re still stuck, try logging out and back in, or use a different browser. Google can be glitchy sometimes.
